Volunteer Co-ordinator
Reports To: Letham4All Manager
Hours: 20 hrs per week
Salary: £16.82 per hour
Contract: 12-month contract
Experience:
We will be offering the post to a person who is able to demonstrate they have skills or experience in working with, supervising and supporting volunteers or groups of people in
local community and working with a voluntary organisation. They will have an awareness of the National Outcome Framework for Volunteering. They will have awareness of the public and voluntary sectors and experience in training groups of people will be desirable. Ideally, they will have good knowledge of the community of North Perth City and of the issues that affect the people living there. They will have good IT and social media skills.
Essential Job Functions:
- Managing the recruitment process for all volunteers
- Promoting volunteering through recruitment and publicity strategies and campaigns
- Maintaining the volunteer database and volunteer administration
- Work with other Letham4All Staff to generate appropriate volunteering opportunities and role descriptions based on the needs of Letham4All and community-based projects.
- Work with other Letham4All staff to identify, develop and arrange volunteer training events
- Monitor, support, and motivative volunteers and in their volunteering activities and personal development.
- Celebrating volunteering by nominating volunteers for awards and organising celebration events
- Attending relevant meetings

Package:
- £16.82 per hour
- 20-hour working week, 28 days includes 6 days public holiday pro rata.

Financial Co-ordinator

Letham4All is a Scottish Charitable Incorporated Organisation (SCIO) committed to advancing community development through the management of the Letham Community Wellbeing Hub and the delivery of activities and services that improve quality of life within the community.
Purpose of the Role
The Financial Co-ordinator is responsible for ensuring the robust financial management of Letham4All in line with OSCR requirements, charity accounting standards (SORP), and
sector best practice guidance. The postholder will:
- Maintain accurate and compliant financial records
- Ensure effective internal financial controls
- Support the Board of Trustees in fulfilling their statutory duties
- Provide timely financial reporting and analysis
- Support sustainable financial planning and risk management
This role is critical to ensuring transparency, accountability, and strong governance appropriate to a charity with £1m annual income.
Key Responsibilities
1. Financial Management & Controls
- Maintain the organisation’s accounting system in accordance with the Charities SORP (FRS 102).
- Ensure appropriate segregation of financial duties and internal controls.
- Process invoices, payments, income and expenses in accordance with approved procedures.
- Ensure dual authorisation processes are followed.
- Conduct monthly bank reconciliations and investigate discrepancies.
- Maintain a fixed asset register.
- Monitor reserves in line with the organisation’s Reserves Policy.
- Maintain a clear audit trail for all transactions.
2. Budgeting, Monitoring & Reporting
- Prepare annual budgets in collaboration with the Manager and Treasurer.
- Produce monthly management accounts including:
- Income & Expenditure
- Budget vs Actual
- Cashflow forecast
- Restricted vs unrestricted fund analysis
- Present financial reports to the Board of Trustees in an accessible format.
- Provide financial analysis to support strategic decision-making.
- Monitor designated and restricted funds separately in line with SORP.
3. Statutory Compliance & Governance
- Support preparation of annual accounts in line with OSCR requirements.
- Liaise with external accountants/independent examiners or auditors.
- Assist with completion of OSCR Annual Return and Trustees’ Report.
- Ensure compliance with charity law, Companies Act requirements (if applicable), and relevant financial regulations.
- Support implementation and review of key governance policies including:
- Financial Controls Policy
- Reserves Policy
- Risk Management Policy
- Procurement Policy
- Scheme of Delegation
4. Fund Accounting & Grant Compliance
- Maintain detailed financial monitoring for restricted and project funding.
- Prepare accurate financial reports for funders.
- Support grant claims and funding applications with financial data.
- Ensure compliance with funder terms and conditions.
5. Payroll & Staff Finance Administration
- Oversee payroll processing (in liaison with payroll provider if outsourced).
- Ensure compliance with HMRC and pension regulations (e.g. auto-enrolment).
- Maintain accurate records of staff costs and statutory payments.
6. Risk Management & Organisational Support
- Contribute to financial risk assessment and mitigation planning.
- Support business continuity planning from a financial perspective.
- Contribute to continuous improvement of systems and procedures.
- Provide guidance and training to staff and Trustees on financial procedures where required
Person Specification
Essential Qualifications
- Recognised accounting qualification (minimum):
- AAT Level 4 , OR
- ACCA/CIMA/ICAS part-qualified, OR
- Equivalent bookkeeping qualification with significant experience
- Evidence of Continuing Professional Development (CPD)
Essential Experience
- At least 5 years’ experience in a finance role with responsibility for:
- Budget preparation and monitoring
- Management accounts
- Bank reconciliations
- Financial controls
- Experience in charity accounting and fund accounting
- Experience preparing information for annual accounts and independent examination/audit
- Experience reporting to senior management or a Board
Essential Knowledge
- Understanding of Scottish charity regulation and trustee responsibilities
- Knowledge of Charities SORP (FRS 102)
- Understanding of restricted vs unrestricted income
- Knowledge of internal financial controls appropriate to a £1m income organisation
- Familiarity with OSCR reporting requirements
Essential Skills
- Strong analytical and reporting skills

- Experience with cloud-based accounting software (e.g. Xero, Sage, QuickBooks)
- High level of accuracy and attention to detail

- Experience in a Scottish SCIO
- Experience supporting a charity with a turnover of over £500k
